Project description

Per our initial discussion, we have agreed upon the following:
- The Event is scheduled for [Event time].
- Photographers with equipment and any needed assistants will arrive prior to the start of the Event at [Time].

What you can expect
You can expect the project to be fully completed [Number] days following the Event, provided there is no rescheduling and the Event is not delayed by other unforeseen circumstances.
For a large celebratory event, you can expect the following deliverables:

Photograph delivery and ownership
[Sender.FirstName][Sender.LastName] will deliver your photographs within [Number] days following the Event in the agreed upon delivery method (see below) as per this photography proposal.
Copyright of the photographs will be owned by [Sender.FirstName][Sender.LastName] OR [Client.FirstName][Client.LastName]. You may use the photographs however you like for personal use, as per the agreed usage rights, including sharing via social media channels, but please credit [Sender.Company] when doing so. Images provided may not be altered (digitally or otherwise), sold, or published by [Client.FirstName][Client.LastName].
Responsibilities
[Sender.FirstName][Sender.LastName] will be the sole and exclusive photographer for the above listed event. [Sender.FirstName][Sender.LastName] is responsible for bringing any equipment or assistants necessary to conduct the services outlined in this photography project.
[Sender.FirstName][Sender.LastName] will provide the goods and services listed in this photography proposal, including coverage for the listed hours at the Event. If additional photos and/or coverage hours are requested on the day of the Event, [Client.FirstName][Client.LastName] agrees to pay [Sender.FirstName][Sender.LastName] in full for those additional hours at the hourly rate listed in this proposal.
[Sender.FirstName][Sender.LastName] will not be held liable for compromised function coverage due to interference from other parties, including late arrivals or no-shows. Likewise, [Sender.FirstName][Sender.LastName] is not responsible for degraded coverage due to environmental issues related to the weather or other factors, including poor event lighting, space, or backdrops.

Most post-production services are carried out using Adobe Photoshop, Adobe InDesign, or another type of photo-editing software to achieve the best finish for your photographic memories.
Cost and fees
For the above-mentioned project, the following rates will be applied:

There may be additional fees for additional staff, equipment, or services requested including:

Photo Delivery: If you prefer delivery via hard disk, thumb drive, DVD, or any other physical delivery method, please inquire about costs for physical delivery methods. You may provide your own physical delivery method to avoid this fee.

Billing and payment

Cancellation
[Client.FirstName][Client.LastName] agrees to forfeit retainer or initial deposit and agrees to pay the full amount for the services listed above should they cancel any proposed photo shoots after the designated cancel date.
Rescheduling
[Client.FirstName][Client.LastName] may reschedule the date of the Event no later than [Number] days prior to the Event. [Sender.FirstName][Sender.LastName] will make every effort to accommodate [Client.FirstName][Client.LastName]’s rescheduled date, but if unable to do so, [Client.FirstName][Client.LastName] will not be held responsible for any remaining balance.
Liability
If [Sender.FirstName][Sender.LastName] should be unable to provide the goods and services outlined in this proposal for any reason, [Sender.FirstName][Sender.LastName] agrees to refund any fees paid by [Client.FirstName][Client.LastName], minus applicable expenses, and shall have no further liability with regard to this proposal.
This limitation of liability also applies to any loss or damage to footage, photographs, or other materials after the Event listed in this proposal. The sole remedy for any actions or claims resulting from [Sender.FirstName][Sender.LastName]'s inability to deliver the goods and services as promised in this proposal shall be limited to a refund of monies paid by [Client.FirstName][Client.LastName] to [Sender.FirstName][Sender.LastName].
Digital Media
[Client.FirstName][Client.LastName] acknowledges that [Sender.FirstName][Sender.LastName] does not maintain archives of images and footage after delivering requested images and other goods to the clients. It is [Client.FirstName][Client.LastName]’s sole responsibility to request any desired prints, products, books, or files within [Number] days of the Event.
Terms and agreement
The terms of this agreement may be changed upon the discretion and agreement of both [Sender.FirstName][Sender.LastName] and [Client.FirstName][Client.LastName].
