Use predefined filters and search to quickly find docs — created by you or your team members — in a few clicks, without having to browse through multiple folders.
Apply filters to quickly see documents that are expiring soon and need renewal. They will appear at the top of your list, helping you focus on the most urgent ones.
Work smarter by searching and filtering your documents by status. Send reminders for the ones awaiting “approval,” nudge prospects when “sent” proposals haven’t been viewed, or notify the team that a contract has been “paid.”

Go to Documents and find your document. Use the context menu on the right and click “Change Status.” Apply a relevant status based on the completion progress.
Get back to your Documents panel. Find the Statuses on the left and click on a necessary status — you will get a list of documents filtered accordingly.
How to change a document status manually
PandaDoc provides five filtering options. You can sort through your own created documents, filter those that are approaching their expiration date and require renewal, filter documents based on statuses, and use tags to access documents across different workspaces.
There are nine statuses, each serving a specific purpose. For example, the “for approval” status serves as a reminder for an approver to review a document. The “paid” status indicates that it’s time to compose a thank-you email to a customer. See a full list of statuses here.
Tags are the keywords that help you locate a document faster. You can add tags for documents and templates using the Actions menu. Once you’ve done that, a document list with filters will appear on your screen. Use them to sort your documents in the way you prefer.
It utilizes a powerful search algorithm to generate detailed search results. You can locate your agreements and see the search history, folders, and tags associated with a certain document.
